Privacy Policy

Summary
This policy covers the Vector & Frank website and what you send us when you get in touch. How we handle the data inside a workflow we run for you — the records that move through it, where they are stored, and who else is in that path — is set out in your agreement and on our security page.
We collect the information you give us when you book a workflow audit or contact us, plus basic technical/analytics data when you browse the Site. We don't sell your personal information, and we don't collect sensitive personal information (health, biometric, etc.). Full detail below.
1. What Information We Collect
Information you give us. When you book a workflow audit through our scheduling tool or contact us directly, we (or our scheduling provider, on our behalf) collect what you provide — typically your name, work email, company name, job title, and phone number, plus anything you tell us in a message.
Information collected automatically. When you visit the Site, we automatically collect some technical information: IP address, browser and device type, operating system, pages viewed, referring URL, and general location (city/region level, inferred from IP). We use this for security, to keep the Site running properly, and for analytics on how the Site is used.
Cookies and similar technologies. We use cookies and similar tools to run the Site and to understand how it's used — see our Cookie Policy for the specifics on what's set and why.
We do not process sensitive personal information (racial or ethnic origin, health data, sexual orientation, religious beliefs, etc.), and we do not knowingly collect any information from third parties about you.
2. How We Use Your Information
We use the information we collect to:
- Respond to your inquiry or schedule your workflow audit
- Operate, maintain, and improve the Site
- Understand how visitors use the Site (analytics)
- Communicate with you about Vector & Frank, if you've asked to hear from us
- Detect and prevent fraud, abuse, or security issues
- Comply with our legal obligations
We don't use your information for automated decision-making that produces legal or similarly significant effects on you.
3. Legal Bases for Processing (EEA/UK Visitors)
If you're located in the EEA or UK, we process your personal information based on: your consent, where we rely on it; the steps needed to respond to your inquiry or booking (performance of a contract, or pre-contract steps); and our legitimate interests in running and improving the Site — balanced against your rights.
4. When and With Whom We Share Information
We don't sell your personal information. We share it only:
- With service providers who help us run the Site and business — for example, our scheduling tool (Calendly or similar), website hosting provider, Google Analytics (GA4) for site analytics, and the LinkedIn Insight Tag for marketing measurement (see "US State Privacy Rights" below for how this relates to targeted advertising under some state laws). Each is bound by their own privacy commitments and only processes your data to provide their service to us. These are the providers behind this website and our booking process; the subprocessors in the path of a workflow we run for you are named separately on our security page.
- In a business transfer — if Vector & Frank is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction.
- To comply with law — if required to respond to a legal process, protect our rights, or prevent harm.
5. Do We Use Cookies and Tracking Technologies?
Yes — see our Cookie Policy for full detail on what we use and how you can control it. In short: essential cookies to run the Site, Google Analytics (GA4) to understand usage, the LinkedIn Insight Tag to measure marketing performance, and cookies set by our Calendly booking widget when you use it.
6. How Long We Keep Information
We keep information only as long as necessary for the purposes described here, unless a longer period is required by law (for example, tax or accounting requirements). Booking and inquiry information is generally kept for as long as it's useful to our business relationship with you, and deleted or anonymized when it's no longer needed. Data inside a workflow we run for you is kept for the window set in your agreement and deleted after it, which is a separate commitment from this one.
7. How We Keep Information Safe
We use reasonable technical and organizational measures to protect your information. No system is 100% secure, though, so we can't guarantee absolute security — transmission of information to and from the Site is at your own risk.
8. Children's Privacy
The Site is not directed at children, and we do not knowingly collect information from anyone under 18. If you believe a child has provided us information, contact us at privacy@vectorfrank.com and we'll delete it.
9. Your Privacy Rights
Depending on where you live, you may have rights to: know what personal information we hold about you, access or get a copy of it, correct inaccuracies, request deletion, and object to or restrict certain processing. You can also withdraw consent at any time where we rely on consent (for example, non-essential cookies).
To exercise any of these rights, email us at privacy@vectorfrank.com. If you're in the EEA or UK and believe we've mishandled your information, you also have the right to lodge a complaint with your local data protection authority.
10. Do Not Track
Our Site does not currently respond to browser "Do Not Track" signals, as there's no common industry standard yet for how to honor them.
11. US State Privacy Rights
If you're a resident of California, Colorado, Virginia, or another state with its own privacy law, you may have additional rights, including the right to know what categories of personal information we've collected about you, request deletion, request a copy, and opt out of the sale or "sharing" of personal information (as those terms are defined under applicable law) or of targeted advertising.
We do not sell your personal information. We do use analytics and advertising tools, including the LinkedIn Insight Tag, which some state privacy laws (like California's) classify as "sharing" for cross-context behavioral advertising even though no money changes hands. Where that classification applies, you have the right to opt out — you can do this through our cookie controls (see our Cookie Policy) or by emailing privacy@vectorfrank.com. We may need to verify your identity before completing any privacy request.
12. International Visitors
The Site is hosted in the United States. If you access it from outside the US, your information will be transferred to and processed in the US, which may have different data protection laws than your home country. By using the Site, you consent to this transfer.
This applies to the website and to what you send us through it. Data inside a workflow we run for you is held separately, under your agreement, and it stays in the United States as well — the detail is on our security page.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We'll update the "Last updated" date above when we do; material changes will be called out prominently on the Site.
